1. Who we are
Handled Concierge Limited (company number 17495615, registered office 2 Park Dale, Ilkley, LS29 6LW, United Kingdom) is the controller of your personal information, which means we decide how and why it is used. You can contact us at hello@handledconcierge.co.uk.
2. What we collect
- When you contact us through our website: your name, email address, phone number, your company name and LinkedIn link if you choose to give them, and your message.
- When you become a member: your name, email address, phone number, address and plan, and your login details. Your password is handled securely by our login provider and we cannot see it.
- One-off bookings: if you ask us to arrange a single service without becoming a member, the details of your request, the price and whether it has been paid.
- Your requests: what you ask us to arrange, the dates, the prices, whether charges are paid, and notes and preferences our team keeps so we can look after your requests properly.
- Payments: your card details are entered with and held by Stripe. We only see the card brand, the last four digits, and the status of your payments and subscription. If you pay for a one-off booking by secure payment link, the payment is handled by our business bank and payment provider, Tide, and its payment processor, and we do not see your full card details.
- Notifications: if you turn on notifications, an identifier from your browser or phone that lets us send you alerts.
- Messages: our conversations with you by WhatsApp and email.
- Technical information: basic details such as your IP address and device type, which our hosting providers record in their logs.
3. How we use it, and why
- To set up and run your membership, arrange services and one-off bookings, and take payments. We do this because we need to in order to provide our service to you (contract).
- To tell you when we add a charge, send receipts and statements, and keep you updated about your account (contract). If you turn on notifications, we send them with your consent, and you can turn them off at any time.
- To reply to enquiries, including looking at the LinkedIn or company details you share, so we can prepare for a conversation (legitimate interests, and steps before you become a member).
- To keep our service secure, prevent fraud and deal with disputes (legitimate interests).
- To keep accounting and tax records (legal obligation).
We do not sell your information and we do not use it for advertising. We do not currently send marketing messages. If that changes, we will ask for your permission first.
4. Who we share it with
- Suppliers: only what they need to carry out your booking, such as your name, contact number, address and the details of your request.
- Service providers who help us run Handled: Stripe (payments), Supabase (our database and logins), Netlify (website hosting and contact forms), Resend (email), Tide (our business bank and payment links), Cloudflare (our domain name) and Meta (WhatsApp). They use your information to provide their service to us, and Stripe also has its own legal duties as a payments company.
- Professional advisers such as accountants, lawyers and insurers, where we need their advice.
- Authorities, if the law requires us to.
5. Transfers outside the UK
Some of our providers handle information outside the UK. Where they do, we make sure there are appropriate safeguards in place, such as an adequacy arrangement or approved standard contractual clauses.
6. How long we keep it
- Your account details, notes and preferences: while you are a member, and for up to 12 months afterwards.
- Records of charges, payments and invoices: 6 years, because the law requires us to keep accounting records.
- Website enquiries that do not lead to membership: up to 12 months.
- One-off booking details: up to 12 months after the booking, apart from records of payments, which we keep for 6 years.
- Notification settings: until you turn notifications off or your account is closed.
After these periods we delete or anonymise the information.
7. Your rights
You can ask us to give you a copy of your information, correct it, delete it, restrict how we use it, or move it to another service. You can also object to uses based on legitimate interests, and withdraw consent (for example for notifications) at any time. To use any of these rights, email hello@handledconcierge.co.uk. We will reply within one month.
8. Keeping your information safe
We use reputable providers, encrypted connections and access controls, and only people who need your information to look after you can see it. No system is perfectly secure, but we take reasonable steps to protect your information, and we will let you and the regulator know where the law requires it.
9. Cookies and similar technologies
We only use essential cookies and browser storage. These keep you signed in and remember small things, such as whether you have already seen a message. We do not use advertising or analytics cookies.
10. Children
Our service is for adults. We do not knowingly collect information from anyone under 18.
11. Changes to this policy
